Volunteering
All persons interested in volunteering at the school (ex. coaching, field trip, in-school event such as pancake day, etc) must meet all the following eligibility criteria:
a) be at least 18 years of age, unless they are a WCDSB student
involved in a secondary school program such as a co-op placement,
sports leadership training, or performing community service hours.
b) complete an Volunteer Application Form, if a first-time volunteer (see below).
c) submit a Vulnerable Sector Check “VSC” (see below) to the Principal along with
the Application Form, dated to within 6 months of submission.
d) submit a “Volunteer Criminal Offence Declaration Form” to the Principal, for every year when a Vulnerable Sector Check is not
required.
A Principal may at any time, and at their sole discretion, request a new
VSC. Volunteer applicants who submit a VSC that lists any offence for which an
official pardon has not been received will have their application reviewed
by the Director of Education or designate. A person who has applied for a volunteer role which will not involve
contact with students may provide a Criminal Records Check instead of a
Vulnerable Sector Check. A person volunteering to assist with coaching a sports team or club shall,
in addition to the foregoing requirements, demonstrate proficiency in the
activity, knowledge of coaching and/or coaching certification, and
familiarity with Board and OFSAA safety and concussion protocols.
Application Process
a) All volunteer applicants, including returning volunteers, must apply
and be approved annually by the school principal.
b) A Principal shall determine whether it is necessary to interview a first-time applicant, based on the nature of the volunteer activity, the
applicant’s volunteer experience, and the extent of the applicant’s
previous interaction with and responsibility for students.
c) A Principal may, at their discretion, check an applicant’s references,
and may seek staff feedback regarding new or returning volunteer
applicants.
d) Each year, a Principal shall create a roster of eligible and approved
volunteers. Only individuals on the roster may participate as a
volunteer in school and school-based activities.
Successful applicants will be notified in writing and must enter into a
School Volunteer Agreement (see Volunteer Application below) before being
added to the school’s Volunteer Roster. Breach of this agreement may
result in the principal’s immediate withdrawal of their approval of a
volunteer.
A principal may deny or withdraw approval of a volunteer at any time
where the person’s presence would, in the principal’s judgement, be
detrimental to the physical or mental well-being of the pupils or staff.
Where an Applicant is volunteering to assist with a particular field trip,
and they are well known to their child’s teacher and/or principal, a
principal may waive the Application Form requirement, but not the
VSC requirement.
